Login and access

Enrolment

Enrolment is currently managed by Coal LSL upon employer registration and onboarding to the scheme. Once enrolled, employers with account manager access can create accounts for other users in their organisation.

Users, once nominated by their account manager, receive an enrolment email including a temporary link to create their account and set their password.

If users fail to create their account within the validity period of the temporary link, they can use the ‘Forgot Password’ link on the login screen to receive a new enrolment email. An account manager can also reset their access.

To sign in to once registered, users have to:

  • enter their email

  • enter their password

  • enter a security code using a multi-factor authentication app.


Email address requirements

To uphold a strict level of security, account managers must provide a unique email address for each user; a same email address cannot be used to sign up multiple users.

To log in, please use the email address the account manager of your organisation has provided when nominating you as a user.


Password requirements

Passwords must contain:

  • at least 8 characters

  • at least 1 letter

  • at least 1 number.

We recommend your password does not include your username or company name. Never share your login details and password.

If you are currently using a 15 character password and would prefer using an 8 character password, you can use the 'reset password' link to change it to a shorter one.

Always log out of at the end of a session. You will be logged out automatically if you close your browser window, or after 24h of inactivity.


Supported browsers

Our Online Services platform is built on a secure web-based platform accessible via a standard internet browser, except of Internet Explorer.

Salesforce – the platform Online Services is built on – stopped supporting Internet Explorer after Microsoft announced it would retire the browser.

If you are using Internet Explorer to access Online Services, you may see a permanent banner indicating that you are on an 'unsupported browser'. You may still be able to access the platform, but it will not work correctly.

To prevent any issues, we recommend you use the latest version of Google Chrome, Microsoft Edge, Apple Safari, or Mozilla Firefox.

Note that Online Services works best when accessed from a desktop or laptop computer.


Multi-factor authentication (MFA)

To add a layer of security to the login process, Online Services requires multi-factor authentication (MFA).

Multi-factor authentication is a security measure requiring users to provide multiple proofs of identity before they can access a website or application. This is often done by entering a code received on your mobile or answering a security question.

If you are not already using an MFA app, we recommend you use the Salesforce Authenticator app. You can download it for free on the Apple Storeor Google Playand install it on your mobile device. If you are already using an MFA app, Online Services may support it. The platform is compatible with most apps generating temporary codes, such as:

  • Google Authenticator

  • Microsoft Authenticator

  • Okta

Users will be prompted to connect an MFA app to their Online Services account as they first log in. This process should take less than 10 minutes and must be completed in its entirety on the first attempt. You cannot partially complete the MFA registration process and return to it later; doing so will inactivate your enrolment link and you will need to contact Coal LSL to proceed.

To prevent any login issues, please ensure you are using a supported browser and that your MFA app is always up to date.

Connecting the Salesforce Authenticator app to Online Services

To register and connect the Salesforce Authenticator app to Online Services:

  • Download and install the Salesforce Authenticator app on a mobile device.

  • On your computer, go to the Online Services login screen. Enter your email and password; Salesforce Authenticator will be displayed on the following screen.

  • On your mobile device, open the Salesforce Authenticator app and click on *Add an account*. The app will display a two-word phrase.

  • Enter that two-word phrase in the Salesforce Authenticator screen displayed on your computer, then click Connect.

  • Go back to the Salesforce Authenticator app on your mobile device, and verify that the request details are correct. If so, click on *Connect* and proceed with log in.

Connecting another MFA app to Online Services

To register and connect an authenticator app other than the Salesforce authenticator app to Online Services:

  • Download and install an authenticator app that generates temporary verification codes on a mobile device.

  • On your computer, go to the Online Services login screen. Enter your email and password; Salesforce Authenticator will be displayed on the following screen.

  • Click on Choose another verification method in the bottom left corner of that screen.

  • Select Use verification codes from an authenticator app, and click on Continue.

  • Using the authenticator app on your mobile device, scan the QR code displayed on the Online Services connection screen on your computer.

  • Enter the code generated by your authenticator app in the Online Services connection screen on your computer, then click Connect and proceed to log in.
